1. INTRODUCTION
These Terms & Conditions apply to all orders for engraving services, products, and related work ("Services") provided by The Pewter Scribe ("we", "us", "our"). By placing an order with us – whether online, in-person, or over the phone – you ("you", "customer") agree to be bound by these terms.
2. PLACING AN ORDER
- How to order: You can place orders in our Derby shop, via our website, or by phone/email. For larger quantities – such as sports club medals, organisation badges, or bulk orders – please contact us to discuss your requirements in detail.
- Order confirmation: We will send you a written confirmation (email or paper copy) with details of your order, including design specifications, price, and estimated completion date. An order is only confirmed once we have received your approval of these details.
- Custom designs: If you provide a custom design or text, you confirm that you have the right to use it (including any intellectual property rights) and that it does not contain offensive, illegal, or defamatory content. We reserve the right to refuse any order that we believe breaches this.
- In-person consultations: We’re more than happy to sit down with you over a coffee to discuss your specific needs. Where appropriate, we can produce physical samples or digital mockups to help you visualise the finished product before work begins.
3. PRICING & PAYMENT
- Prices: All prices are quoted in GBP and include VAT where applicable. Prices are subject to change without notice, but we will always confirm the final price before starting work on your order. Bulk orders may be eligible for discounted rates – please ask for a quote.
- Payment methods: We accept cash, card payments (processed securely via a third-party gateway), bank transfers, and PayPal.
- Payment terms: Payment must be made in full before we begin work, unless we agree to a different arrangement (e.g., for large or custom orders).
- Cancellation fees: If you cancel your order after work has started, we may charge a fee to cover materials used and time spent (up to 50% of the total order value).
4. PRODUCTION & COMPLETION TIMES
- Estimated times: We will give you an estimated completion date when you place your order. This is a guide only – we will notify you immediately if there is any delay (e.g., due to material shortages or complex design requirements).
- Proof approval: For custom orders, we will provide a digital or paper proof of the design before engraving begins. Work will only proceed once you have approved the proof in writing. Any changes requested after approval may delay completion and incur additional costs.
- Time-sensitive orders: If your order is for a specific event (e.g., presentation, birthday, wedding), please let us know when placing your order. When we use images of your completed work for our marketing materials, we will always respect your timeline and not post or share any photos prior to your event date.
5. DELIVERY & COLLECTION
- Collection: You can collect completed orders from our Derby shop during opening hours. We will contact you when your order is ready.
- Delivery: If you request delivery, we will use a trusted courier service. Delivery costs are quoted separately and will be confirmed before your order is processed.
- Risk: Once your order is collected by you or handed to the courier, all risk of damage or loss passes to you. We are not responsible for items lost or damaged in transit unless we have packaged them incorrectly.
- Undelivered items: If an order is returned to us due to incorrect delivery details or failed delivery attempts, we will contact you to arrange re-delivery (at your cost) or collection.
6. RETURNS & REFUNDS
- Faulty items: If we have made a mistake in engraving (e.g., incorrect text or design), we will re-do the item free of charge or offer a full refund. Please notify us within 7 days of receiving/collecting your order.
- Change of mind: We cannot accept returns or offer refunds for custom engraved items unless they are faulty, as they are made specifically for you.
- Damaged items: If your order arrives damaged, please notify us within 48 hours of delivery and provide photos of the damage. We will arrange a replacement or refund where appropriate.
7. INTELLECTUAL PROPERTY
- All custom designs provided by you remain your property. We will not use them for any purpose other than completing your order.
- Any designs created by us for your order are our intellectual property, but you are granted the right to use them for your intended purpose. We reserve the right to display photos of completed orders in our marketing materials (unless you request otherwise in writing, or the order is time-sensitive as outlined in Section 4).
8. LIABILITY
- We will take reasonable care to ensure your order is completed to a high standard. However, our total liability for any loss or damage caused by our negligence will not exceed the total value of your order.
- We are not liable for any indirect losses (e.g., loss of business, inconvenience, or sentimental value) resulting from issues with your order.
9. DATA PROTECTION
We will handle your personal information in accordance with our Privacy Policy, which is available on our website or in-store. We will never share your data with third parties (as outlined in the policy).
10. CHANGES TO THESE TERMS
We may update these Terms & Conditions from time to time. The latest version will be posted on our website and displayed in our shop. Your continued use of our Services means you agree to the updated terms.
